SIS Tutorial
    (You may want to print a copy of this tutorial and use it while you practice using SIS.)
     
      1. Click on the icon you use to bring up the VAX system.
      (If you already have one session running to use e-mail, you can click on the icon again and have a second session for using SIS. This will keep you from having to exit e-mail each time you want to use SIS)
      2. Type your Username and press Enter.
      3. Type your Password and press Enter
      4. At the $ prompt type: SIS (press Enter)
      5. When the SIS screen comes up, enter your SIS access codes in the three fields:
      • System number ___
      • Operator number _____
      • Password _______ (Your SIS Password - use uppercase letters)
      6. Press Enter
      The line with the blinking cursor is where you type data. The blank spaces are called fields. When you fill in a field, the cursor will jump to the next field. The fields you will typically use are:

      SCREEN............ Enter the number of the screen you want to see
      SID......................Social security number or the student's name if you don't know the number
      COURSE............The course number and, sometimes, the section number
      TERM.................The number code for the term you want to see

      The term number is a three-digit number. The first two digits are for the year and the last number is for the term. The numbers for the terms are as follows:
      1=Spring
      2=Summer Session
      3=Summer Session II
      4=Fall
      For example: Spring 1999 is 991, and first session summer is 992.

      The keys you will use to easily move around in SIS:
      TAB............to move the cursor one field forward
      CTRL+H....to move the cursor one field backward
      CTRL+L.....to move the cursor back to the first field
      CTRL+W....to clear messages that show up on your screen (such as mail messages)
      F2 and F4....F2 to enter Help and F4 to exit (on most keyboards)

      To get a paper copy of the information: Press Print Screen. This will print to the printer you have designated as your default printer.

      To exit SIS, type SO in the SCREEN field. Press LO at the $ to log off.


      Commonly Used Screens

      109 STUDENT SCHEDULE
      This screen has the student's courses, days, times and locations. You will need to enter the student's Social Security number and the term. (Related screens you could use are: Screen VR2- displays the schedule including the TRS call numbers, and Screen 120 - displays the student's schedule in calendar format)

      102 NAME SEARCH
      Use this screen if you don't know the student's Social Security number. Type as much of the student's last name as possible in the SID field. If space allows, skip a space and put in some of the student's first name. Press Enter.

      Now you will see a list of students with that name. You can narrow the search even more by tabbing to the top and again typing the student's last name and entire first name. Press Enter.

      Each student has a line number. You will see that your cursor is blinking on the line number field. Enter the line number for the student you want and press Enter. SIS will then display the student's information for the previous screen you were using.

      NOTE: You can use any screen to do a name search - the system will automatically put you into screen 102 if you enter a name in the SID field. After you find the student you need, you will automatically be returned to the screen you were orginally using.

      136 STUDENT TRANSCRIPT
      The student's entire Appalachian transcript is shown. When you type 136 and press Enter, you will then need to type U (undergraduate) or G (graduate) in the Career field to indicate which transcript you want. Keep pressing Enter to progress through the semesters. The first screen shows entry data for the student. If the student transferred to ASU, transfer credit will be shown. AP credit is posted on the student's first semester.

      Related screens you could use: GRD - displays the student's grades, by term. If you want to see only grades, this is faster. Keep pressing Enter to move through the data, term by term. Screen 143 - displays transfer credit. Use this if transfer credit is the only data you need to see.

      DS1 SPECIAL DESIGNATORS AND REPEATS
      When you type DS1 in the Screen field and press Enter you will see a screen that gives you summary information about how many Special Designators a student has completed. You can also find information about the student's repeated courses. More information about how to use this screen is on the DS1 SCREEN page.

      103 PERSONAL DATA
      Displays the student's permanent address, local address, telephone numbers, birthday, sex, ethnic group, etc. Caution: some students aren't very good about keeping their local address current. You can usually track them down by sending a note to their ASU Box or sending them an e-mail message.

      Screens you can use to get that information are: Screen 003, which displays address information and the ASU Box number (on the upper right) and Screen VR6, which displays the student's computer ID address for e-mail (on the lower left).

      118 ACADEMIC STATISTICS
      This is a quick way to get information about a student without using the transcript. You will see the student's GPA, earned hours and quality hours. In the box on the right you can also see how many times the student has used a probationary pass (each student is allowed 2).

      221 TEST SCORES
      Displays the student's test scores, such as Placement Tests, SAT, ACT, PRAXIS, and GRE. Important: For an explanation of the placement test results, type F2 in the Test ID field.

      105 SEATS AVAILABLE
      Enter 105 in the Screen field; type the course number and the term (like this, ENG 2020101) in the Course field; press Enter, and you will see how many open seats are currently available in each section.

      107 CLASS LIST
      This screen displays the names of students registered for a specific class. Type the class and the section number in the Course field. You will need a space between the letters P S and C J. No space before the section number.  Example: Course: P S 1100101

      All SIS screens are tied to the Telephone Registration System (TRS)and the Web Registration System (WRS). During the registration period you can get current information about who has registered.
